A plain-English guide to what DACKS keeps, who can see it and why.

Who is responsible

Your school, college or club decides who uses DACKS and why. It is responsible for the information about its players and staff, and DACKS processes it on their behalf.

Questions about a specific player should go to the organisation first, usually the head of sport or designated safeguarding lead.

What information is kept

Account details (name, username and email), squad and role, the schedule, fixture responses and team selections.

Information players add themselves: daily wellbeing check-ins, injury reports, training logs and game stats.

Messages, and any safeguarding concerns that are reported.

Who can see it

Each club's records are kept separate. Only signed-in members of that club can see its information, and what they see depends on their assigned role.

Medical details are for physio staff. Other staff see only availability and physio-approved restrictions.

Safeguarding concerns are visible only to the club's authorised welfare staff and admins. The person who reported can see progress, but not the lead's private notes.

Draft sessions and unannounced teams are not shown to players.

How long it is kept

Chat messages are deleted automatically after 20 days.

Other records stay while the person is a member, so staff can support their wellbeing and development. Clubs can ask for records to be removed.

Your rights

Under UK GDPR you can ask to see, correct or delete your information. Parents and carers of younger students can ask on their child's behalf.
